Adding team members to your Accessed Space account allows you to manage the lifecycle of employees within your organization. This includes managing device retrievals, team member documents, software, and asset assignments. The process of adding a new team member is straightforward and similar to adding details in an HRIS system.

Steps to Add Team Members

  1. Navigate to the Add Team Member Page

    • Go to the Team Members section within your Accessed Space account.

    • Click on the "Add Team Member" button to open the team member creation form.

  2. Enter Employment and Personal Details

    • Fill in the required fields with the team member’s details. This includes employment information such as First name, last name, job title, and start date, as well as personal information such as Personal Email, Mailing Address, and Phone Number.

    • Note that Employee ID, Work Email, and Personal Email must be unique within your account. Duplicate entries are not allowed.

  3. Optional Fields

    • While Employee ID and Work Email are recommended for managing team members, they are not mandatory for adding them to your system. If the team member has not been onboarded yet and does not have a work email or employee ID, you may skip these fields and add them later.

  4. Why Personal Information is Required

    • We require personal mailing address, phone number, and email to facilitate equipment retrievals for assigned assets. This information is crucial for managing device returns and ensuring accurate asset tracking.

    • Even if you do not plan to use retrieval services, having this information on hand can be useful for various purposes, such as sending a birthday card or contacting the team member.

  5. Complete the Process

    • Review all entered information to ensure accuracy.

    • Click the "Save" button to add the new team member to your Accessed Space account.

By following these steps, you can efficiently add and manage team members within your organization, ensuring that all necessary information is available for device retrievals, document management, and asset assignments. This comprehensive approach helps maintain organization and control over your team’s resources and responsibilities.
